The official caterers at the King's Hall, Hamilton & Kirk, have the sole right to provide food and drink (alcohol or otherwise) for consumption on stands and in offices. Except by written permission of the caterers, no company or individual may bring any food or drink into the Exhibition for distribution. Restaurants, buffets and snack bars where meals and refreshments can be obtained at varying prices will be opened at the discretion of the caterer. Enquiries for catering facilities should be made directly to the official contractor.

Children


Children under the age of 12 will not be allowed gain entrance to the hall during the build-up or break-down period.

Competition Prizes

Part of the publicity campaign will involve a series of competitions and special promotions for which we will be offering 'FREE HOLIDAYS' as prizes. We invite your participation in this scheme and we are accepting offers on a date received basis. The pay-off to the participating Exhibitor is, of course, the publicity gained prior to the Exhibition.

Customs and Excise - Non European Community Exhibitor


The King's Hall, Belfast is not a bonded area. Exhibits from non European Community countries consigned to the hall need clearance by the local Customs Inspector. A minimum of 48 hours notice is required by HM Customs and Excise. Further information should be obtained direct from:

Arrangements can normally be made for goods to be imported without paying duty, under the Temporary Importation of Goods for Exhibition or Meeting Regulations, as explained in Notice 213. Your forwarding agent will be able to make all the necessary arrangements on your behalf.


Dismantling

Clearance of exhibits may begin once the show has closed on Sunday, January 17. As Exhibitors will appreciate however, it is particularly difficult to provide effective security during the dismantling of the Exhibition. We would ask you therefore to remove products, dressing, equipment etc. before leaving on Sunday evening. Only heavy goods should be left for collection for security reasons. Ensure that you have organised forklift facility if required.



Distribution of Publicity Materials

Exhibitors are not allowed to distribute leaflets, etc., anywhere within the Exhibition premises or grounds, except at their own stands, and they must not for this or any other purpose encroach upon the aisles or open spaces or do anything which may cause obstruction.

Exhibitor Badges

A reasonable quantity of Exhibitor's badges will be supplied to the Exhibitors at the Organiser's Office. These are not transferable and it is requested that special care be exercised to prevent them getting into unauthorised hands.



Fire Prevention

IT IS ESSENTIAL that all Exhibitors and their contractors and agents are familiar with the current Fire Regulations regarding the construction, furnishings and fittings for stands in an exhibition area. If you have queries regarding fire regulations please contact the Organiser. We would alert those Exhibitors who have purpose-built stands - particularly those built abroad - of the very strict nature of the Fire Regulations within Northern Ireland.

Insurance

Exhibitors are advised to take out adequate insurance cover against the kinds of risks they could incur in connection with the show especially:

  • Personal Accident to Staff

    2. Property on loan or hire to them
In addition, Exhibitors may wish to take out insurance for losses and wasted expenditure in the event of the Exhibition being abandoned or curtailed.
It is possible that Exhibitors' existing policies will extend to cover them at the Exhibition and verification of this should be obtained from the Exhibitor's insurance company.

Ensure that any incident involving a possible claim on insurance is reported to the Organiser's Office as failure to do so could result in insurance companies refusing to meet claims.



Liability

The Organisers are not the agents for either Exhibitors or sub-contractors (whether mentioned below or not) and cannot accept liability in respect of any contract entered into between Exhibitors and sub-contractors for the negligence or default of any such persons, their servants or agents. The Organisers have appointed official contractors in order to control the number of people working in the exhibition halls.

Parking

The Showgrounds can accommodate up to 2000 cars including a separate area for exhibitors and VIPs.
A charge of £3.00 per vehicle is made to all visitors to the exhibition. Exhibitors should enter the complex by using Gate D from Balmoral Avenue.

You may enter the exhibitors Car Park, through Gate D on Balmoral Avenue, on production of your exhibitors badge.

The Press Office will be open during show opening hours. Our Public Relations Consultants will provide information on the Exhibition, in general, and on individual Exhibitors to all the media. The office will be manned at all times and Exhibitors are encouraged to provide the Press Office with as much newsworthy information about their exhibits as possible.

The completion of the Public Relations form will give our Public Relations Consultants the opportunity to select information regarding new or interesting exhibits to be passed on to representatives of the media.

Public Address System

The public address system is provided for the use by the Organisers for official announcements only and is not available to Exhibitors or visitors except in emergencies.

Public Transport

The King's Hall Complex is perfectly situated within Northern Ireland's capital Belfast. Located just outside the city centre the King's Hall Complex offers easy access to all its visitors from all over Ireland and further a field.

From the M1 Motorway:
Exit at Junction 2 and follow the signs to The King's Hall Complex.

From the M2 Motorway /Belfast International Airport:
Follow the Westlink to M1 and exit at Junction 2, follow signs to The King's Hall Complex.

From the Belfast City Airport:
Follow signs to Dublin on the Sydenham By-Pass, onto the Westlink and then M1. Exit at Junction 2, follow signs to The King's Hall Complex.

From Belfast Docks:
Follow signs for Westlink and M1 Motorway. Take first exit off M1, signposted to The King's Hall Complex and follow signs to the King's Hall Complex.

From the Outer Ring (A55):
Follow the directions towards Lisburn, The King's Hall Complex is clearly sign posted.

Removal of Exhibits

All portable exhibits, valuable items and any graphics or artwork required for future use, should be removed from the hall immediately at official closing time of show in order to safeguard against theft. Special instructions will be issued to cover the late night break-down period.
UNDER NO CIRCUMSTANCES ARE EXHIBITORS PERMITTED TO REMOVE ANY GOODS FROM THEIR STAND BEFORE THE EXHIBITION CLOSES

Restocking and Servicing Stands

Exhibitors may re-stock their stands and service their equipment not later than 1 hour before Exhibition opens. If they wish to remove any of their exhibits from the hall during the open days of the Exhibition they must obtain written permission from the Organisers.



Rules and Regulations

When using other than official contractors it is the responsibility of the Exhibitor to ensure that their contractors or agents are familiar with the Rules and Regulations of the Exhibition, in particular, those pertaining to non flammable materials. Additional copies are available from the Organisers on request.

Security

Delegate one member of your personnel to take charge of your company's safety and security at the exhibition.

24-hour Security will be maintained throughout the Show. However, if you have special high risk items or very valuable products on your stand, you may prefer to hire a Security guard to stay on your stand overnight. Please ensure that you inform the Organisers in writing of your intention. Exhibitors are reminded that they are responsible for all their products.

Exhibitors will be informed on the opening morning of security procedures to be enforced during the Show and during breakdown. The Organisers appreciate Exhibitors' co-operation in carrying out these procedures.

Exhibitors are reminded that although the Organisers take every precaution to ensure the safety of the Exhibition, they or any of the contractors cannot take responsibility for losses or damage that occur during build-up, opening hours or break-down. Any items belonging to Exhibitors which are required for future use should be removed from the hall immediately the Exhibition closes.

Exhibitors who leave any exhibits or valuables on their stand are strongly advised to arrange for a security guard to man their stand until the exhibits and valuables are removed from the hall. Exhibitors should notify the Organisers of the appointment of their own security guard, his name and the company through which the guard is employed.

Exhibitors are reminded that vehicles and their contents are at risk in the Car Park area and that, in particular, care should be taken not to leave vehicles unlocked with valuable contents unattended during build-up or at anytime during or after the Exhibition.

Power supplies to stands will be switched off 30 minutes after the close of the Exhibition and Exhibitors requiring power after this time must apply to the Organisers' Office. Water supplies will also be terminated 30 minutes after the close of the Exhibition, as well as all other essential services.

Security will be in operation in the Hall but Exhibitors and their staff are advised to take every precaution in safeguarding their exhibits and other valuables at all times during the breakdown.
Please ensure that any incident involving the loss of property is reported to the security or organisers office. Failure to do so could result in insurance companies refusing to meet claims.

Please check with your insurance company prior to build-up that your exhibits are adequately covered against loss or damage while they are at the exhibition or in transit.

Shell Scheme Stands

Included in the price of SHELL SCHEME STANDS are dividing walls (2.5m high), carpet, name panel and 150 watt spotlight per six square metres with minimum of two spots per stand. Stands are constructed of modular framework in widths of 950mm (371/4 inches).

Smoking

All Halls and all other indoor areas within the Showgrounds are subject to a total ban on smoking at all times, with no exceptions. This rule applies when Hall or areas are vacant, during event build-up, event open days and event breakdown. All Organisers will ensure that their staff and subcontractors are aware of this ban and comply with it. Any persons found smoking in the Halls or indoor areas may be asked to leave the Showgrounds and re-entry will be at the sole discretion of the King's Hall.

Space Only Stands

It is important that space only Exhibitors submit 2 copies of their stand floor plans to the Organisers for approval one month before Exhibition opens.

The overall height of stand fitting for single storey stands including cladding of columns should not exceed 4m from the floor level. Requests to exceed this height will only be considered provided they are submitted to us in writing and accompanied by drawings. Such stands may be build to a maximum of 4m. All stand fittings exceeding 4m in height must be set back 1m from the open perimeter of the stand site. A stand number panel must be displayed on every side of the stand.

On divided wall sites, you are responsible for erecting and decorating side and back walls facing onto your stand to a height of 2.5m. Walls above this height must be clad and decorated on both sides from 2.5m upwards by the exhibitor who had them erected. Such walls overlooking adjoining stands must be finished in plain colour only. The maximum height for dividing walls is 2.5m The maximum height for dividing walls of single storey stands is 4m.



Stand Appearance & Structure

In general, stands should not exceed 2.5 metres in height and all materials used must be inherently non-flammable. Access to essential hall services must be left clear and all divider walls must be backed-up and present a clean appearance from the aisles and any adjoining stands. In particular enclosed structures should be designed so as not to detrimentally effect surrounding stands or the entire lay-out.
Some stands may contain permanent structural features, i.e. pillars and others may contain amendments based on operational requirements. Any such variations are generally shown on the stand layout and exhibiting companies should note that stands are bought as seen and or described. If you require a detailed drawing of your stand please ask.

In the event of a space only exhibitor wishing to make use of a neighbouring exhibitor's shell scheme wall, he must first obtain permission from the Shell Scheme contractor. A stand number panel must be displayed on every open side of the stand.
